SOP: Staff Profile Photos for Work-Related Platforms

🔍 Purpose

To guide staff on how to present themselves across professional and work-adjacent platforms in a way that aligns with the company's values: approachable, thoughtful, and intentional—while still allowing room for personal style and privacy.

🧭 Scope

Applies to all staff who:

  • Appear on the company website
  • Represent the company in communication channels (LinkedIn, Telegram, etc.)
  • Share work-related content or are publicly associated with the company

✅ General Principle

Your profile photo should make others think, “I’d trust this person to work on something important.”

This doesn’t mean boring—it just means intentional, clear, and not misleading.

📸 1. Platforms with High Professional Visibility

Examples:

  • LinkedIn
  • Website bios
  • Speaker profiles (events, conferences)
  • External press releases or marketing material

Recommended:

  • Clear, front-facing headshot
  • Clean or neutral background
  • Dress that reflects your professional role (business casual or formal)
  • No heavy filters, party photos, or distracting elements

💬 2. Telegram and Privacy-Sensitive Platforms

We recognize Telegram is a dual-purpose tool:

  • Used for internal work chats
  • But also for public channels and large groups where privacy matters

For Telegram, you may use:

  • A professional headshot (same as LinkedIn) if you're in a work-only context
  • A neutral, creative, or anonymized image (like abstract art, symbols, tasteful avatars, or ASCII art) if you're active in public groups or value privacy

✅ The key is:

  • No memes, selfies, or chaotic images
  • The photo should still feel intentional and not unprofessional if seen by a colleague or client

⚠️ 3. Not Acceptable in Any Context

  • Party shots or cropped group photos
  • Heavy face-altering filters
  • Images that could reflect poorly on the company or create confusion about your identity
  • Memes, joke images, or unrelated pop culture figures

  • We offer photo-taking support during onboarding or photo update days
  • Unsure about your image? Ask HR or Comms for quick feedback
  • You can update your photo at any time to reflect your growth or role changes
